The Analytical Solutions Division (ASD) of Applied Research Associates (ARA), Inc. has an exciting opportunity for a full-time Project Manager Assistant on-site in Huntsville, AL. The Project Manager Assistant will provide project management support and coordination to complex contract(s), project task(s) or a business unit. Responsible for supporting DoD projects and assisting our RPG associated project managers with managing scope, budget, schedule, and deliverables of dynamic R&D projects. Must possess the ability to perform detail-oriented work, be a well-organized and dedicated individual to coordinate and execute program tasks within cross-functional team(s) and complete all activities within required deadlines. Project Manager Assistant will assist in multiple competing priorities, are a proactive problem solver, critical thinker, effective communicator and can work both independently and also as a team player.

What you’ll do as a Project Manager Assistant:

  • Administrative support: prepare/schedule meetings, presentations, logistics, annotate meeting minutes, record action items, and occasionally present information to client during regular reporting meetings

  • Purchasing support with micro-purchase orders (MPO) and purchase orders (PO)

  • Input MPO’s and PO’s into databases

  • Assist in project scheduling

  • Update reports/financials of internal process reviews (IPR), government reports, fully burdened labor report and any other reports as needed

  • Tracking annual fiscal plans and monthly updates, maintenance, and reporting

  • Contract administration and maintains contract budgets

  • Assist PMs with bill of materials (BOM)

  • Assists and prepares technical proposals, contract billing, estimates materials, equipment, production costs and delivery schedules

  • Assist functional supervisors in tracking material orders by communicating with project managers, procurement, and vendors

  • Serves as delegate to Project Manager as needed

Must Haves as a Project Manager Assistant:

  • Bachelor’s Degree AND 0-2 years relevant work experience; OR a H.S. diploma (or equivalent) and 6-8 years’ relevant experience

  • Must be a US Citizen

  • Obtain and maintain a minimum of a SECRET clearance from the US Department of Defense

  • Technical understanding of prototyping and manufacturing processes/ scheduling and planning / ability to evaluate and implement process improvement

  • Experience in writing technical processes, procedures, documentation templates/forms

  • Proficient skills with Microsoft Outlook, Excel, Word, and PowerPoint

  • Hands on project management in manufacturing/industrial setting requires working knowledge of mechanical systems and tools

  • Effectively communicate; verbal and written

  • Must be proficient with Microsoft Word, Excel, and Project

  • Highly organized

  • Excellent time management skills

  • Excellent verbal and written communication

  • Interpersonal skills

  • Job requires occasional pushing, pulling, standing, reaching, grasping, bending, and stooping and candidate must be able to lift to 50lbs individually

  • Be physically capable of wearing all required personal protective equipment to include, but not limited to safety glasses, respirator, safety shoes, hearing protection and hand protection as required

Project Manager Assistant Wish List/Preferred:

  • Active / current SECRET Clearance from the US Department of Defense

  • Project Management Professional certification or equivalent

  • Experience with organizing processes using software and tools
